Terms and Conditions, Cancellations and Refund Policy

At Gestalt Art Therapy Centre, our mission is to provide high-quality training, retreats, therapy, supervision and coaching in a safe, respectful environment. By registering for any service or event you agree to the following terms.

General

1. Participation in any workshop, retreat, session or supervision indicates acceptance of this policy.

2. Use of the Gestalt Art Therapy Centre or Arteterapia Gestalt logos requires prior written permission from the Directors.

3. Do not post official certificates bearing Directors’ signatures in public online spaces. You may share the “online certificate” version without signatures.

4. Registration is per person. If more than one person attends an online workshop from the same location or connection, each person must be registered and paid.

5. If you are currently in psychological treatment, contact us before participating.

6. Disrespectful behaviour may result in removal from an event without refund and without eligibility for future events.

7. Leaders and Directors are not responsible for misuse of workshop content or for emotional responses arising from participation. Workshops are educational and are not personal therapy.

8. We are not GST registered. Receipts will be provided.

9. Workshop language is English. Participants must be able to communicate in English.

10. Certificates are issued after you complete the feedback form and in some cases workshop activities. If you attend via recording, you must also complete the set activities supplied by email.

• Therapy, Supervision and Coaching Sessions

Registration and payment

1. A registration form must be completed before sessions.

2. Payment is due before the session or within one day after the session. Non-payment may lead to additional charges and ineligibility for future sessions.

Cancellations and rescheduling

1. At least 24 hours’ notice allows a reschedule at no charge.

2. Less than 24 hours’ notice incurs a fee of 50 per cent of the session cost and a new booking is required.

Online session requirements

1. Ensure your system and platform are working before the session. If communication fails due to client-side issues, the session is deemed delivered and must be paid. A new booking and payment are required for any replacement session.

Recording prohibition

1. Recording any therapy, supervision, workshop, retreat or event without explicit written permission is strictly prohibited. This includes audio, video and any digital or physical recording. Unauthorised recording breaches privacy and intellectual property and may result in legal action.

• Workshops

Face-to-face workshops

1. Cancellations 30 days or more before the start date receive a 50 per cent refund. The remaining 50 per cent covers administration costs.

2. Cancellations less than 30 days before the start date receive no refund and no exchange.

3. Events may be postponed if minimum numbers are not met.

• Online workshops

1. Cancellations less than 72 hours before the workshop receive no refund or credit.

2. Participants are responsible for having the required materials. Lack of materials does not qualify for a refund.

3. To receive CP hours certificate you must complete the feedback form, watch the recording if applicable and submit the required activities. Include photos of your creative work when requested.

4. Online live events are recorded and may be shared with participants and the public. By participating you consent to this use.

5. If a live online event does not proceed due to low numbers, you will either rebook into the next live session or receive the recording. If the workshop will not be live repeated, you will receive the recording. Access information will be emailed within 15 days.

6. Recording our events yourself is not permitted.

7. Sharing event links or materials with others is not permitted. Access is for the registered participant only.

8. Access to purchased recordings is available for six months from the purchase date.

9. Online conduct requirements: Zoom cameras must remain on during the workshop, microphones muted except during Q and A, and chat is for questions at the end only. Failure to follow these rules may result in removal without refund or reschedule.

Online Training (short or long courses)

1. Once payment is made and access to any part of the course is provided, no refunds are available.

2. Course content may not be used for profit or to offer similar training without written permission from the authors.

3. All content is protected by copyright. Unauthorised use may result in penalties.

4. Participation and obtention of the final certificate, does not grant an accredited qualification to practise as a Gestalt Therapist, Art Therapist or Psychologist.

Art Therapy Retreats

1. Cancellations more than 90 days before the start date receive a 50 per cent refund if accommodation and catering have not yet been paid. Administrative costs are deducted. Bank and PayPal fees are non-refundable.

2. Cancellations less than 90 days before the start date receive no refund, including for illness or COVID-19.

3. Dates or venues may change with prior notice. Organisers are not responsible for circumstances affecting participants due to such changes.

4. Refer to the specific retreat information for any additional terms.

Gift Cards

1. All gift card sales are final and non-refundable.

2. Gift cards are non-transferable.

3. Gift cards cannot be cancelled once issued.

4. Gift cards are valid only during the stated period. Any remaining balance after expiry is forfeited.

5. If a purchase exceeds the gift card value, the balance must be paid by the participant. Unused balances remain valid until expiry.

6. We are not responsible for lost, stolen or unauthorised use of gift cards.

COVID-19 and Flu Season Protocols

1. Temperature checks may be conducted before face-to-face sessions. If you have a fever of 37°C or higher, cough, sore throat or shortness of breath, you must reschedule.

2. If you test positive for COVID-19, you must reschedule according to Queensland Health guidance.

3. Close contacts must have a negative test on the day of the session and wear a mask. If you test positive, reschedule your session.

Conduct, Confidentiality and Safety

1. Workshop content and participant information are private and confidential.

2. Respectful behaviour is required at all times. Disrespectful behaviour may result in removal from the event without refund or credit.

3. If we believe you or another person is at risk, we will report the situation in line with our duty of care.

Benefits

5. Gold Members may advertise books, workshops and courses, be considered for inclusion in official publications and collaborations, and participate in exclusive annual events.

Terms

1. Membership is valid for the calendar year from 1 January to 31 December.

2. Membership fees are non-refundable and membership cards are non-transferable.

3. Discounts apply only to Centre-developed offerings.

4. Directors may modify membership terms.

Privacy and Confidentiality

1. We comply with the Privacy Act 1988 and the Australian Privacy Principles.

2. We collect personal information to manage registrations, payments and communication. This may include your name, contact details and payment information.

3. Information is stored securely with appropriate technical and access controls.

4. Bank transfers are used only to process payments. PayPal transactions are processed on PayPal’s secure platform. We do not store PayPal account details.

5. We do not sell or share your personal information. We may disclose it if required by law or to protect rights, property or safety.

6. You may request access to, or correction of, your personal information. You may withdraw consent, subject to legal and contractual limits.

7. We may update this policy to reflect changes in practice or law and will notify you of significant changes.
